DOVESTONE HOLIDAY PARK LTD - Terms and Conditions

Welcome to Dovestone Holiday Park Limited ("we," "us," or "our"). These Terms and Conditions govern your booking and stay at our holiday park accommodation, including facilities such as hot tubs and if you bring your pet. By making a booking, you agree to be bound by these Terms and Conditions.

1. Bookings and Payments

1.1 Making a Booking

  • A booking is confirmed upon receipt of your deposit or full payment and written confirmation from us. A Contract shall come into existence only if and when we issue a booking confirmation.
  • The person making the booking must be 18 years or older and is responsible for all members of the party.

1.2 Payment Terms

  • A deposit of 10% of the value of your reservation is required at the time of booking.
  • Full payment is due six weeks before your arrival. Failure to pay on time may result in the cancellation of your booking.
  • For bookings made within 6 weeks of your holiday start date, the full monies are payable at the time of booking.
  • If payment is not made according to these terms, we reserve the right to cancel your holiday and retain the deposit paid.

1.3 Changes to Your Booking

  • Any changes to your booking are subject to availability and a non-refundable administration charge of £35. We will not raise any administration charge for adding or removing pets from your booking or adding details of extra residents to your booking as long as such changes are allowed and can be accommodated in the type of accommodation booked by you.
  • Changes must be requested in writing or via email.
  • Please note any changes to the dates of your stay or the type of accommodation will be subject to the rate of charge applicable to the new dates of your stay.

1.4 Security Deposit

The payment card used to make the booking will be retained in our payment processor HRP (Holiday Rent Payment) The data is stored securely and within the PCI regulations.

1.4.1 Assessment of Damage and Charges

Upon check-out, the accommodation will be inspected for any damage, missing items, or excessive cleaning requirements beyond normal use.

If damage or loss is found, the holiday park reserves the right to charge the necessary repair, replacement, or cleaning costs, up to the value of £150.00 to the card used to make the booking.

1.4.2 Lost Key and Call-Out Charges

If a guest loses their key during their stay, they will be liable to pay a £150 fee to cover the cost of replacement locks. This charge will be applied at the end of the guest’s stay.

If a guest requires a replacement key to be issued at any time during their stay and a member of site staff is called out to assist, a £25 call-out charge will be payable.

1.4.2 Notification of Charges

Guests will be notified of any charges within 48 hours of check-out, along with an itemised breakdown of charges.
If damages exceed £150.00, the holiday park reserves the right to seek additional payment from the guest.

1.4.3 Guest Responsibility

The guest is responsible for ensuring that the accommodation is left in a reasonable condition at the end of their stay.
Any disputes regarding charges must be raised in writing within 7 days from the date of notification.

2. Cancellations and Refunds

2.1 Guest Cancellations

  • If you need to cancel your booking, you must notify us in writing as soon as possible.
  • Whilst we will seek to accommodate any requested change on the date of your stay with us such change is subject to the same or similar unit being available and such new booking will be subject to the charging rates applicable at the time you request a change to the dates of your stay.
  • Refunds will be made based on the following schedule:
    • Cancellation 6 weeks or more before arrival: a full refund will be due minus an administration charge of £35.
    • Cancellation less than 6 weeks before arrival: are non-refundable

2.2 Holiday Insurance

  • We strongly recommend that you take out comprehensive holiday insurance to cover any unexpected cancellations or inability to attend. Please note that we do offer you the option of insurance cover on your booking via XCover (Booking Protect)

2.3 Cancellations by Us

  • In the rare event that we need to cancel your booking, we will offer you a full refund or alternative dates, subject to availability.

3. Arrival and Departure

3.1

  • Your booked accommodation will be ready from 4pm on the day of arrival. Accommodation should be vacated by 10am on the day of departure.
  • Early arrivals and late departures may be available upon request but are subject to availability and may incur an additional charge.
  • For guests arriving on a Wednesday, the arrival time shall be from 2pm.

4. Facilities, and Conduct

4.1 Use of Facilities and Hot Tubs

  • Facilities and hot tubs must be used responsibly and in accordance with the instructions provided.
  • Children under 16 must be supervised when using the hot tubs.
  • The hot tub may not be up to operating temperature on your arrival due to the water being changed. This can take up to 8 hours especially in winter months. No refund will be made should this occur. Hot Tubs must not be used after 10.30pm. Anyone that does not respect these rules will be evicted from the park by staff and they will also forfeit all of their security deposit.
  • The signatory is responsible for making sure that all members of their party and their guests are aware of and strictly adhere to the guidelines.
  • Risk to children - extreme caution must be exercised to prevent unauthorized access by under age children. The hot tub cover must remain closed at all times unless a responsible adult is present. No children under the age of 16 years are permitted in the hot tub as they cannot regulate their body temperatures suitably. Use of the hot tub by anyone under the age of 16 years is entirely at your own risk. Remind everyone that wet surfaces can be very slippery. Make sure everyone takes care entering and leaving the tub.
  • All tubs and filters are thoroughly cleaned and disinfected after every client so that you are receiving a totally clean and fresh hot tub. We also adjust disinfectant levels and take records every morning to ensure your hot tub stays in healthy condition throughout your holiday. However the Bromine can discolour the water and sometimes leave a ring around the tub, but this is normal and will cause no harm. No refund will be made should you feel the tub is not clean enough.
  • You MUST always shower before and after use. Please note perfumes, make up, hair products and fake tan can contaminate the water, if the water is contaminated in any way that results in us having to drop and refill your hot tub during your stay £50.00 will be charged from your security deposit. (£150 charge will be made should you allow a pet in the hot tub)
  • You must not stay in the hot tub for more than 20 minutes as extended exposure to chlorine/bromine can cause burns and/or skin irritations. You have been warned of this and we do not accept liability for such skin irritations. Extended immersion in hot water can also result in hypothermia – a dangerous condition that occurs when the internal body temperature exceeds 37 degrees centigrade. Symptoms include unawareness of impending hazard, failure to perceive heat, failure to recognize the need to exit the tub, unconsciousness resulting in a danger of drowning.
  • You must not stand or sit on the hot tub cover or allow children to do so, If the cover is broken during your stay £150.00 will be deducted from your security deposit. Do not drag the vinyl cover using the cover straps; always use the handles and you must replace the Hot tub cover when the tub is not in use (whether empty or full).
  • You must not jump into the hot tub, allow anyone to sleep in it, wear jewellery in the tub, and you must keep all loose articles of clothing away from rotating jets and other moving components.
  • You should not use drugs, alcohol or medication before or during hot tub use as this may lead to a danger of drowning.
  • People with infectious diseases must not use the hot tub. Persons using medication should consult their doctor before using the tub. Some medication may cause drowsiness. Do not use the tub if your medication induces drowsiness, affects your heart rate, blood pressure or circulation. Pregnant women, persons suffering from obesity, heart disease, low or high blood pressure, circulatory problems or diabetes should consult their doctor before using the tub.
  • You should not use the tub immediately after strenuous exercise and you should Test the water with your hand before entering the tub to make sure it is comfortable.
  • You must not attempt to open the electrical box, you must not use any glassware, any detergent or soaps in the tub or drink the water from the tub.
  • Everyone using the hot tub must have their own Insurance cover prior to using the hot tub we also recommend getting liability insurance cover for the hire period.
  • Dovestone Holiday Park Ltd will not be held responsible for injury or death however caused regarding the hire/use of the hot tub other than in the case of the negligence of our employees or agents.

4.2 Damage and Cleanliness

  • Guests are responsible for leaving the accommodation and facilities in a clean and tidy condition.
  • Any damages or additional cleaning required will be charged to the lead guest.

4.3 Noise and Behaviour

  • Guests must respect the peace and privacy of others. Excessive noise, disruptive behaviour, or violation of park rules may result in immediate removal without a refund.

5. Liability

5.1 Guest Responsibilities

  • Guests are responsible for their personal belongings during their stay.
  • We cannot accept liability for any damage, expenses, injury, death or loss of any nature whatsoever suffered by any person(s) from any cause other than in the case of the negligence of our employees or agents.
  • You are strongly recommended to take out appropriate personal insurance for your holiday

5.2 Park Facilities

  • Use of park facilities, including hot tubs, is at guests' own risk.
  • We are not liable for injuries or accidents unless caused by our negligence.

6. General Terms

6.1 Parties 

  • The booking must be made by somebody over 18 years of age and at least one adult has to stay in each lodge.
  • The total number of people occupying the lodge must not exceed its stated capacity, although infants under two years of age do not count for this purpose.
  • Any group or all male and all female parties are accepted only at our discretion and with our specific permission. Where the majority of a group are aged under 21 or includes any person who is normally closely supervised, there must be sufficient and responsible adults over the age of 21 in every accommodation to provide adequate supervision.
  • We ask that all guests respect the need for privacy and quiet by other guests and noise is kept to a minimum by 10.30pm We ask that all groups make us aware of the booking to enable us to locate you as close together as possible.
  • Should you arrive at the holiday park with a group which does not meet these criteria we reserve the right to refuse the use of the accommodation.
  • We also reserve the right to refuse to hand over accommodation to any person(s) who, in our opinion, is not suitable to take charge of it. In such cases, all hire charges paid will be refunded in full and the Contract shall be cancelled.
  • We will not knowingly allow anyone to stay on Park who is listed on the Violent And Sex Offenders Register (or any register which supersedes this).
  • If, in our opinion, any person(s) is not suitable to continue the holiday because of unreasonable behaviour, damage to property, or annoyance to other guests, the Contract may be terminated. In this event the hirer shall remain liable to pay the hire price and no refund will be due.
  • The accommodation must be left in a clean and tidy state when vacated and any breakages or damage should be reported to our reception. Serious breakages or damages will be charged for accordingly. We reserve the right to charge for any abnormal cleaning which may be necessary. All accommodation is non-smoking; an additional cleaning charge of £100 will be made to those who fail to observe this rule.
  • We have the right to enter any accommodation (without prior notice if this is not practicable or possible) if special circumstances or emergencies arise.
  • One of our lodges is specially adapted to make it suitable for wheelchair users. However, the disabled visitor should normally be accompanied by others to attend to their mobility requirements. We try to provide wheelchair access wherever practical, but some facilities may not provide such access. It is essential that such parties state any special needs at the time of booking and we will do our best to accommodate them or point out which facilities may be unsuitable.
  • We reserve the right to provide alternative accommodation of (at least) an equivalent class, even when parties have been advised of their specific lodge number(s).

6.2 Pets

  • Pets are allowed in designated pet friendly lodges only and we ask that the following rules are adhered to:
  • Keeping your dog under control: It is a legal requirement that your dog is kept under control at all times.
  • Dog Fouling: Please ensure that you pick up and dispose of all dog fouling in a responsible manner. There is a dog waste bin on the grassy area opposite our reception. This is an ideal toileting area for dogs. Please do not allow your dog to foul inside the accommodation or on the decked areas.
  • Around the park: Please keep your dog under control and on a lead at all times around the park and on walks. The footpaths have a high footfall and are used by cyclists, walkers and families with young children.
  • Countryside Code: Please adhere to the countryside code when walking around the woodland walks and footpaths in the area. Please keep your dog on a lead in any fields where there is livestock, especially lambs, and be mindful of ground nesting birds.
  • Accommodation etiquette: Only well-behaved pets can be left unattended in the accommodation and then only for short periods of time. Pets should be kept off furniture and beds. If you cannot keep your pets off furniture and beds, please ensure you bring a blanket or throw to protect the furniture. Use of our bedding is prohibited. Please bring your own pet towels, pet beds and pet bowls.
  • Any damage or additional cleaning caused by pets will be charged for.
  • Restricted Breeds: Certain dangerous breeds are not allowed on park. We do not accept the following types of dogs; XL Bully, American Pit Bull Terrier, Japanese Tosa, Fuila Brasileiro and Dogo Argentino. Any other type of dog which could present a danger or alarm to other visitors is also excluded.
  • If your dog shows aggressive behaviour, you will be asked to leave the park immediately with no compensation.
  • Charges: Dovestone Holiday Park Ltd reserves the right to charge for damage to your hired accommodation or extra cleaning of furniture

6.3 Smoking Policy

  • Smoking, including vaping, is not permitted inside any lodges. Smoking is permitted in designated outdoor areas only.

6.4 Force Majeure

  • We are not liable for events beyond our control (e.g., natural disasters, pandemics) that may affect your stay.

6.5 Privacy

  • Any personal data provided during your booking will be handled in accordance with our Privacy Policy.

6.6 Vehicles

  • Your vehicles and their accessories and contents are left entirely at your risk. We will not be responsible for any loss or damage from or to any vehicle from any cause whatsoever other than in the case of negligence of our employees or agents.
  • We ask that you do not charge an electric vehicle from your accommodation.
  • Each accommodation has a designated parking bay, additional parking is available on our car park but this is not guaranteed.

7. Complaints

  • If you have any complaints during your stay, please notify us immediately so we can address them.
  • Complaints submitted after departure must be made in writing to info@dovestonepark.co.uk within 28 days of your stay. We cannot accept liability in relation to any shortcomings or claim of whatever nature if you fail to notify us of any complaint or claim during your holiday and write to us within 28 days of the end of your holiday.

8. Force Majeure

We regret we cannot accept responsibility or pay any compensation where the performance or prompt performance of our contract with you is prevented or affected by reason of circumstances which amount to force majeure.

Circumstances amounting to force majeure include any event which we could not, even with all due care, foresee or avoid. Such circumstances include the destruction or damage of your holiday home (which cannot reasonably be remedied to a satisfactory standard before the start of your holiday) through fire, flood, explosion, storm or other weather damage, break-in, criminal damage or any similar event. Such circumstances also include riots or civil strife, industrial action, natural or nuclear disaster, fire, adverse weather conditions, war or threat of war, actual or threatened terrorist activity and all similar situations beyond our control.

In such an event we will endeavour to offer you alternative holiday accommodation if available. If we cannot do so or if you do not wish to accept the alternative we offer, we will refund all monies you have paid to us in full. Where any cancellation or change results from force majeure, our liabilities are limited to offering you an alternative holiday home (where available) or full refund as set out above. We regret we cannot pay any compensation or meet any expenses or costs you may incur as a result of any such cancellation or change.

9. Governing Law

  • These Terms and Conditions are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the English courts.
